By Mail:  Send hard copy mail to the Member's District address. Otherwise, the letter will go through the Capitol Mail screening process, which takes approximately three weeks.  Issue-oriented mail delivered to the District address is usually sent as a bundle daily to a Member's staff home address.  This is the quickest way to get your letter to the member.

 

Getting a Note to the Member Quickly:  If you want correspondence to get to the Member quickly, scan the letter into your hard drive, and email it directly to a Congressional staff member in the Member's office.  Faxing a letter should be a last resort.  The fax machine is not reliable and the faxed item often sits in a Congressional staff member's fax inbox for days.

 

Protocol Help: Be sure to address your Member correctly on paper and in person. 

 

Email:  If you wish to email a staff member on the House side, you must have the correct spelling of the person's first and last name.  All House email follows the same format:

 

  

If you wish to email a staff member for either Senator Hagan or Senator Burr follow this format:

 

 

Telephone Calls: We strongly encourage anyone intending to influence policy/votes with a Member of Congress to get in the habit of calling the Member's staff.   Congressional staff enjoy interacting with constituents directly.  Often, this is the most effective way to communicate your ideas without traveling to Washington for a personal visit.  When you call the Member's office, ask to speak with the Legislative Assistant who handles the issue that you are calling about. 

 

Remember:  Personal issues should be communicated on personal stationery or by personal email. Work email or stationery should never be used to communicate with the federal government unless the communication is in support of official state government business.
